Insert integrity and barcodes help us ensure that we're handling your mail accurately, efficiently, and safely.
Insert integrity levels
We help state agencies make sure their documents are handled correctly. When sending important legal papers, it’s important to track them carefully. You can choose different levels of tracking for your mail.
- Top level integrity: Each document gets two barcodes so it can be tracked from printing to mailing. If a piece gets damaged, it's reprinted automatically.
- High integrity: The system uses special codes to track each piece through printing and assembly. You can see when documents are processed and if they needed extra attention.
- Moderate integrity: This basic level uses a barcode to keep your pages together. If the number of pieces doesn’t match, you are notified.
- Minimal integrity: This level has no tracking, no barcode, and no way to check if all pages are included.
How to choose the integrity level
Choosing the right integrity level for your mail depends on how important tracking and accuracy are for your documents.
- Assess sensitivity: If your documents contain sensitive legal or financial information, opt for Top Level Integrity to ensure full tracking and reprinting of damaged pieces.
- Consider compliance needs: Some agencies or businesses may have regulations requiring tracking. High Integrity provides detailed tracking without full automation.
- Balance cost and security: Moderate Integrity is a good choice if you need basic tracking but don’t require full visibility into every piece.
- Understand risks: Minimal Integrity is the least secure option, best for non-sensitive mail where tracking and security aren't necessary.
- Consider mail volume: If you process large amounts of mail, higher integrity levels can help prevent errors and ensure accuracy.
Depending on the integrity level you choose, you can benefit from the following features:
- Count verification: Piece count provided to verify that the correct number of pieces are processed.
- Insert barcoding: 2-of-5 or 2D barcode with unique serial number used for each set inserted into an envelope.
- File-based tracking: Data file loaded on inserter verifies that the correct pages are inserted and records any piece that drops out of machine to be manually assembled.
- Closed loop control: Any pieces dropped out of machine to be manually assembled are destroyed and reprinted to ensure automated assembly.
- Intelligent mail barcode (IMB) tracking: IMB is used to track mail piece through the USPS processing plants. This also allows for other services like Secure Destruction.

Insert Barcodes
Whenever inserting mail with a machine, using “intelligent” barcodes is the goal. Barcodes drive the insert process. They add a level of quality and accuracy not available with non-barcoded material.
The standard barcodes used by DES are:
- For non-file-based insert jobs:
- 24-character interleaved 2D barcodes
- 24-character interleaved 2 of 5 barcodes
- For file-based inserting:
- 16-character interleaved 2D barcodes
- 16-character interleaved 2 of 5 barcodes
